Meetings

The Editorial Team met at the New York Conference to discuss Art Documentation content and production issues with Jack Robertson, chair of the Publications Committee. The contents co-editors attended various conference sessions with a view toward recruiting appropriate authors/articles for publication.

Publications

Two issues of Art Documentation were published in 2004 (Vol. 23, #1 Spring 2004; and #2 Fall 2004), and contents co-editors Judy Dyki and Kathy Zimon completed editorial work on the Spring 2005 issue (Vol. 24 #1, currently in production).  Each issue of Art Documentation contained an integrated mix of eight (Spring issue) and nine (Fall issue) articles.

Vol. 23, #1 Spring 2004:  8 articles, 21 ill., 38 p. ; Reviews (18) + Pubs.Recd., 17 p. ;  Total p. 60 (excluding covers).

Vol. 23, #2 Fall 2004:  9 articles, 8 ill., 41 p. ; Reviews (20) + Pubs.Recd., 19 p. ;  Total p. 64 (excluding covers).

Total for Vol. 23, 2004:  29 ill., 124 pages (excluding covers).

Advertising

Vol. 23, #1 Spring 04:  2.5 pages paid advertisements;  .75 page unpaid advertisements for Occasional Papers

Vol. 23, #2 Fall 04:  2.5 pages paid advertisements; 1.25 pages unpaid advertisements (2):  Occasional Papers, Houston conference

An ad exchange was begun with the Art Libraries Society for reciprocal ads in Art Libraries Journal and Art Documentation for the various publications of the respective organizations.

Other Activities

Each issue of Art Documentation now includes a list of the Society Circle names to acknowledge the donors publicly and in a permanent manner.  To accommodate this new feature, an abridged version of the contributor guidelines will now appear in each issue with the full version included on the ARLIS/NA Web site.  These abridged guidelines will join the masthead and the “From the Editors” column as part of the front matter.

Volume 23 saw the adoption of the 15th edition of The Chicago Manual of Style for style guidelines.  Subtle differences in the formatting of Art Documentation resulted from this change in versions.

With the change in AWS Web Site Editors, the reviews on the Web site now appear with a different layout and format.  The details concerning the procedures in sending and posting the reviews are still being worked out by Nedda Ahmed and Joan Stahl.

Beginning with Vol. 24 #1 (Spring 2005), the identification information for authors and reviewers will be expanded to include position title, institution, and e-mail address.

Also beginning with Vol. 24 #1, the number of extra copies an author receives will be reduced from three to one.

Under the direction of Publications Committee chair Jack Robertson, an agreement was reached with EBSCO for electronic distribution of Art Documentation articles and reviews.  The Copyright Transfer Agreement form and clarification in copyright policies were also finalized.  Implementation of the process for sending the PDFs to EBSCO and obtaining the back issues will be addressed over the coming year.
