Charge

Continues to be to develop an infrastructure and curriculum for a four-day summer institute of continuing education in image collection/visual resources management; to negotiate instructors and teaching materials for the institute; and to arrange its first venue and program schedule at Duke University (Durham, NC) July 7—July 10, 2004.

Activities

In 2002 the JETF had completed a charge, project plan, timeline, curriculum, and budget.  From the Project Plan, this work represented Phase One, Project Launch and Curriculum Development and parts 2A-2B (Investigation of outside funding possibilities) of Phase Two, Budget Development.

1. The plan and timeline were revised in December 2002 and March 2003 respectively to allow for the change of venue date from Summer 2003 to July 7-10, 2004.

2.  At the VRA and ARLIS/NA conferences, the Task Force and Board members met to discuss the SEI with the following results:

3.  With approval of both ARLIS/NA and VRA Boards over the summer, the SEI venue was changed from Rice to Duke University.  Duke was thought to be better than Houston since both VRA and ARLIS/NA conferences had or would be happening there, and John Taormina would be able to facilitate arrangements on site.

4. Over the summer, the SEI received sponsorships from:

·        Art Institute of Chicago’s Ryerson Library of $500.00 towards registration/publicity materials

·        Duke University Perkins Library of $500 for opening reception.

·        Duke University Office of Interdisciplinary Studies of $750.00 for box lunches

·        Duke University Art and Art History Department of $1000.00 for morning/afternoon breaks

5. The budget underwent revisions after review by Co-Chairs and the Boards and the tuition was set at $575 for ARLIS/NA and VRA members, $625 non-members.

6. In November,2003  the Official Agreement was signed by the Presidents of VRA and ARLIS/NA.

7.  Much progress was made towards the remaining project phases, due to the efforts of the Implementation team, and direction of  Co-Chairs John Taormina and Mary Wassermann

Phase 2: Budget Development

2C. Investigate outside funding sources:

Debra Cox (University of Washington) and Eileen Fry (Indiana University) have identified possible funding sources for the 2005 SEI, and drafted versions of fundraising letters.  They will work with VRA and ARLIS/NA development committee members for 2005 funding pursuits.

Phase 3: Duke University Arrangements

John Taormina set up the program through the Department of Art and Art History, with sponsorships also from the Office of Interdisciplinary studies and the Perkins Library. Housing and other arrangements have also been set up.

-

Phase 4: Publicity and Registration Materials

Leigh Gates (Art Institute of Chicago) and Jenni Rodda (NYU Institute of Fine Arts), in charge of Publicity and Registration, wrote a press release that was sent out in November 2003 to a large mailing list they had developed with the Implementation team.

The official website was launched early January 2004.  Mark Pompelia (Rice University), the SEI Designer created the logo and the site.  http://www.vraweb.org/2004sei/

Phase 5: Registration Period

On-line and mail registration was started February 9, 2004, to run through April 30, 2004.

Phase 6: Instruction Development

Margaret Webster (Cornell University) serving as Curriculum/Instructor Liaison,

headed the search for instructors, basing the selection on the curriculum needs and recommendations from the Task Force.  Instructors are listed on the website.

Phase 7: Hold Summer Institute for Visual Resources

Due to a positive response and many inquiries about the Institute thus far, the

Co-Chairs and Implementation team are confident that the minimum enrollment will be met and are looking forward to a great and successful first run of the Summer Educational Institute!

Issues for Executive Board

We would like to thank the ARLIS/NA and VRA Boards and Liaisons Kathe Hicks Albrecht and Suzy Frechette for their support throughout the year.

We will be following up with both Boards after the Institute, and ask that the Liaisons assist us in setting up appropriate discussions regarding finances, overall success of the institute, and continued sponsorship for 2005.
