The Past-President is completing his 3rd and final year on the Executive Board.

Executive Board Activities

Meetings:

Attended annual ARLIS/NA Annual Meeting, Saint Louis, 20-26 March 2002 (including Pre-Conference and Post-Conference ARLIS/NA Executive Board meetings)

Attended Conference Planning Advisory Committee (CPAC), Baltimore, 7-8 June 2002

Attended ARLIS/NA Mid-Year Executive Board Meeting; New York City, 10-11 August 2002

PUBLICATIONS:

ARLIS/NA Handbook and List of Members: Revised and updated it with Vicky Roper from Headquarters and suggestions/corrections by Daniel Starr. Published in early April 2003.

ARLIS/NA Conference Planning Manual: Revised and updated it with revisions to the various drafts by Daniel Starr, Elizabeth Clarke, Allen Townsend, Phil Heagy, Kay Teel, Gregg Most, Marianne Cavanaugh and Margaret Webster. Thanks to Website Editor Jonathan Franklin for doing a linked index to the sections and loading it on the website in Dec. 2002.

ARLIS/NA Policy Manual: Revised and updated it with revisions to the various drafts by Daniel Starr, Allen Townsend, Phil Heagy, Kay Teel, the Publications Committee and the Finance Committee.  All revisions will be approved at the Preconference Board meeting in Baltimore and it will be loaded on the ARLIS/NA website in March 2003.

ARLIS/NA Conference Proceedings: Received and formatted reports from the St. Louis conference with the VRA Conference Proceedings Editor, John Taormina. Reports from sessions, committees and DSRTs were loaded on the ARLIS/NA website by Jonathan Franklin on Sept. 30, 2002. They also appeared in VRA Bulletin, 2002 Summer, v.29, n.2. 

I also interacted with each Board member in various ways- primarily by providing copies of documents such as the Leadership Breakfast agenda from St. Louis, the Distinguished Service Award certificate from St. Louis for revision, financial documents relating to the LA and St. Louis conferences as well as committee records, conference-related press releases and texts.

COMMITTEE ACTIVITIES:

Distinguished Service Award Committee: met with the committee in St. Louis and communicated decisions of the Board to the Chair. Assisted the Chair with any problems. There will be an award given in Baltimore. Communicated Board’s decision to eliminate this Ad Hoc committee and place it under an umbrella Awards Committee.

Finance Committee:  met with the reconstituted committee at the St. Louis conference. Assisted Treasurer on researching restrictions on use of designated funds, the history of these funds and a rationale for the Board’s disposition of said funds.

North American Relations Committee: Met with the committee in St. Louis. Assisted Chair with designated new liaisons. Communicated Board’s decision to eliminate this Ad Hoc committee and place the liaisons directly under the Vice-President in the reporting structure.  Received the committee archives (ca. 3ft.) and am presently sorting though it to determine what documents to send to the archives.

Travel Awards Committee:  Met with the committee in St. Louis. Assisted Chair with questions regarding translations, withdrawal of RLG Middle East Awards; negotiations with sponsors; other email questions from the Chair.  Communicated Board’s decision to eliminate this Ad Hoc committee and place it under an umbrella Awards Committee. 

BALTIMORE CONFERENCE ACTIVITIES:

Publications Chair: forwarded various documents from St. Louis and LA including press releases, exhibits prospectus tests, preliminary program texts. Proofread and revised texts.

Development Committee: assisted the Conference Development Chair with fundraising for the conference by contacting ca. 15 sponsors. Donations are down this year, but this is attributed to the general economic situation. 

Conference Co-Chairs: assisted them with forwarded copies of documents and emails from the past two conferences such as press releases, program texts, ARLIS-L postings.

NYC04 CONFERENCE ACTIVITIES:

Recommended Roosevelt Hotel to Headquarters in Jan. 02; Daniel Starr and I did a site inspection in Feb. 02; HQ negotiated and the final, revised contract was signed by Daniel Starr on May 31, 2002.

Asked Margaret Webster to be the Program Chair- she agreed in Mar. 02.

Organized first group meeting in NYC at New York Public Library on Oct. 10, 2002- thanks to Clayton Kirking for arranging it. Present were: Starr, Townsend, Webster, Goodman, Kempe, Kirking, Viskochil, Soehner, Preston, Hoyt, O’Keefe, Clarke, Day, Gabbard, Earnest, Wolfe. Items discussed included the schedule, special events, tours, and speakers.   Sent out notes of the meeting on 10/11/02.

Revised the draft Preliminary Schedule with suggestions from Webster, Roth, Starr.

Prepared a Draft budget and sent to Heagy on 1/10/03.

Assisted Margaret Webster in revising the Conference Evaluation Form for Baltimore. It will be in paper and on the Baltimore Conference website.

Assisted Margaret Webster in revising the Program Proposal Form for NYC04. It will be in paper and on the ARLIS NYC04 website.

Suggested possible graphics for the NYC04 website and paper programs of the Empire States Building by Lewis Hine from Avery Library collection. Still in negotiations.

Went on a site visit on 1/27/03 arranged by Ken Soehner with Clayton Kirking of a possible convocation site- El Museo del Barrio. Discussions are ongoing at this time with the Director, Sr. Julian Zugazagoitia.

FINAL COMMENTS:

It has been a pleasure and honor to serve as Vice-President, President and Past-President of ARLIS/NA. I have been privileged to work with some of the brightest and most dedicated people I know.

I want to thank previous Board members Karen McKenzie, Trudy Jacoby, Kathryn Wayne, Peter Blank, Debbie Kempe, Pat Lynagh, Lou Adrean, Leslie Abrams, Carole Goldsmith and Paula Hardin for their encouragement and support.

I also want to thank current Board members Daniel Starr, Allen Townsend, Phil Heagy, Norine Duncan, Irene Puchalski, Ursula Kolmstetter, Laurie Whitehill Chong, Kay Teel and Laura Schwartz for their ongoing dedication to ARLIS/NA.

I especially want to thank Elizabeth Clarke and her associates Vicky Roper, Susan Rawlyk, Bonnie James and Derek Crosley for taking care of our society and making my life much easier.
