Narrative: 2000

April-June   Chair received thank-you letters from winners of travel awards.

August   Chair wrote to sponsors to confirm their continued sponsorship.

Sept.-Oct.   Chair posted Travel Awards announcement on ARLIS web site.
Chair created online application with assistance of her Institution's Systems department. Scripting of application sent directly to her e-mail account.

Oct.   Chair mailed out Travel Award Announcements for US members. Headquarters mailed foreign award announcements.  Sent out announcement to ARLIS-L -- Deadline December 1, 2000.  Worked with Derek Crosley at HQ for posting on ARLIS/NA web site.

Nov.   Chair works on calling list of sponsors provided by Development Chair for sponsorship of former Getty Trust Publication Award (award for committee chairs, moderators, chapter officers.)

Dec.   Chair secures sponsorship from Thames and Hudson for one year.  Chair writes thank you letter to Thames and Hudson and invoices Thames and Hudson as well.  Deadline extended to December 15, 2000, due to no applications for two awards (Mirvish and Karno). Notification deadline extended to January 15, 2001.

Jan.   Chair copies and forwards applications to Committee; Committee emails 1st & 2nd choices for each award to chair; Chair notifies committee & Board liaison of winners.
Chair emails winners with congratulations asking for confirmation of attendance and for a photo; Chair emails non-winners with regrets; Chair emails winners with more details stating that the award will not be sent prior to conference.

Feb.   Chair asked to serve again as committee chair.  Says “yes” and asks committee members would like to serve again.  All, except one, plan to continue next year.

Mar.   Chair sends out invoices to sponsors.
Chair writes (late) annual report (my apologies).
Chair will coordinate certificate process with headquarters, coordinate convocation ceremony with ARLIS/NA President, committee will greet awardees, make introductions, etc.
 
Award winners:  the Chair received a total of 47 applications; the breakdown is as follows, along with the recipient’s name:

Howard & Beverly Joy Karno Award--2—Beatriz MacGregor (Mexico)
David Mirvish Books/Books on Art Award--0—Irene Puchalski (University of Toronto – originally applied for Thames and  Hudson Award, received #2 votes for Thames and Hudson, thus we offered Mirvish to her)
Puvill Libros--3—Anna Dahl (Konstbiblioteket/Nationalmuseum and Moderna Museet, Sweden)
Thames and Hudson Award--12—Sarah McCleskey (Clemson University)
RLG Award--21—Catherine Cooney (University of Wisconsin)
RLG Asian/Oceania Award--7—Catherine Hammond (Auckland Art Gallery, New Zealand)

Strategic plan:

180. Create or revise procedures and timetable for Committee activities, based on Conference dates. [Travel Awards C.] [4.B.12.]  COMPLETED.

181. Create or revise publicity materials, including multilingual; design for dissemination in various formats: poster, flyer, chapter newsletters, other associations' listservs and newsletters, Web Site. [Travel Awards C.] [1.B.11.]   COMPLETED.

182. Create list, and add to membership database, of current, potential, and former Travel Awards donors.  [Travel Awards C., Development C., Management Staff] [4.A.22.]   POSTPONED

183. Design Travel Awards page for Web Site and establish guidelines for updating/ maintenance. [Travel Awards C.] [3.A.3.]   IN PROGRESS

Issues for Executive Board:

Thames and Hudson has committed to one year at this point.  Thus we still need to, either ask them again or seek out another donor.

Need for increase for Mirvish award – no one applied directly for this award  -- funding level $500 Canadian converts to $350 US, not enough incentive for Canadians to apply –this is an issue.

Also, in reviewing this year’s applications it has become apparent that we need to secure funding for a Library School Student Travel Award as well as a Travel Award for Beginning/1st Year Librarians.

The Chair would like to investigate how many members are on arlis-l or don’t have email this coming year.  The cost of the mailing ($450) could easily be used to create a travel award! If we need to mail to members, we need to reduce the cost of the mailing by not mailing to members subscribed to arlis-l.
