Submission & Publication Process

  1. Contact Art Documentation editors via e-mail about topics/abstracts for articles before sending manuscripts.


  2. Once topics/abstracts have been approved, articles may be sent as e-mail attachments in MS Word.


  3. Questions about content, length, illustrations, or other issues should be discussed with editors prior to submission.


  4. Authors will have the opportunity to review any edits to the text before publication. Each author will also receive a copy of the first page proof of the article to proofread.


  5. Authors will sign and submit a publication agreement which grants copyright to ARLIS/NA, including the Society's right to reproduce and disseminate the work mechanically or digitally for purposes in support of its educational and professional mission. However, authors may reprint or republish their own works without permission from ARLIS/NA provided the Society is credited.


  6. Authors will receive one copy of the journal issue which contains their submissions within a month of publication.

Content

  1. Feature-length articles: theoretical and scholarly submissions should be 1,500 words minimum length plus any accompanying photographs. Maximum length for an article or interview is 8,000 words. Average article length is 2,500 to 4,000 words.


  2. Shorter articles: articles emphasizing library practice or contributor opinion should be 700 words minimum length.


  3. Articles for the "Between the Lines" feature should be 1,500-2,500 words in length and take the form of an in-depth review of a significant publication, a comparative review featuring related publications, or a bibliographic essay.


  4. Contributions which have been published elsewhere or are under consideration by other journals will be ineligible for publication in Art Documentation under normal circumstances.


  5. Copyright clearance for any portion of the submitted manuscript must be obtained in advance by the author. Illustrations for articles should be submitted together with copyright permission for publication in Art Documentation.

Style and Form

  1. Follow style guidelines provided by the latest edition of Chicago Manual of Style.


  2. All articles must be submitted in English, using American spellings.


  3. Titles, column headings, etc., should be typed in upper and lower case. Book and journal titles should be typed in italics.


  4. Submissions will be edited for content, style, spelling, grammar, and syntax. Editors will make the final decisions about journal content and form.


  5. Articles with significant style problems will be returned to the author for revision.


  6. References to published works and quotations should be credited in complete endnotes using standard formats.


  7. Do not use an embedded footnote/endnote program; within the document, indicate the note number in superscript1. List endnotes as word-processed text at the end of the document, e.g., 1. Note...


  8. Articles should be broken up by sub-headings of up to four words at intervals of 500-700 words or as appropriate to text.


  9. Acknowledgments, if any, should appear at the end of the article but before the "Notes," under the subheading "Acknowledgments."

Visual Materials

  1. Contributors are strongly encouraged to send illustrative material with submissions.


  2. Charts and tables should be properly formatted electronically (or camera-ready), captioned, and clearly identified.


  3. Photographs: high quality black-and-white prints or negatives may be submitted if appropriate to illustrate the text. If submitting digital images, originals should be professionally scanned at a resolution of 300 dpi at their final printed size (i.e., 1 column/2 column wide, vertical/horizontal) or slightly larger. Accepted file formats are: psd, tiff, jpeg (high quality), eps (no GIF files).


  4. Web screen images should be captured at the highest resolution and can be submitted via e-mail or printed on photo paper in order to be published. Please include Web address for any images captured from Web sites along with the date of access.


  5. Full captions should be submitted for all images, including information regarding copyright permission, source of photograph/image, and credit for photographer, if applicable.


  6. Ads may be submitted in any of the following file formats:
    • InDesign document (include fonts and links)
    • Photoshop: tiff/jpeg/eps (300 dpi)
    • Pdf: print quality (include fonts)
    • Eps (outline or include fonts)


  7. Illustrative materials will be returned if requested in advance.
