Annual business meeting: March
17, 2000, Pittsburgh, Linda McRae, Chair.

H. W. Wilson contract
was signed to provide full text of Art
Documentation on Wilson’s full text databases.

Retention policy for ARLIS/NA publications:
At the request of ARLIS President Karen McKenzie, the Board Liaison and
Committee Chair developed a retention statement for publications, to guide
in the preparations to move headquarters to Clarke Associates.

Policy on free copies of ARLIS/NA publications:
At the mid-year Board meeting Policy R-18, "Distribution of Free Copies
of ARLIS/NA Publications" was changed to add: "Authors of main articles
in Art Documentation are entitled to 3 free copies of that issue."

Policy on reprinting publications:
Also approved at the mid-year Board meeting was Policy R-26, "Publications
Stock Management and Reprinting Guidelines."

Update: The April 2000 issue
(number 2) was the last paper issue to be mailed to the entire ARLIS/NA
membership. Starting with June 2000 (number 3),
Update was mailed
only to those members who requested on their 2000 membership applications
that they wished to continue receiving paper copies. Institutional members
continue to receive the paper version. Update issues were made available
at the ARLIS/NA Web Site as pdf files. At the Pittsburgh meeting the Committee
had discussed what form the electronic publication of Update would
take; pdf was chosen as a transition method as it would preserve the familiar
look of the print publication. The Committee continued the discussion via
email.

Art Documentation
co-editors Stephanie Sigala and Betsy
Peck Learned announced that they would resign at the end of 2001. Applications
and nominations were solicited twice on arlis-l.

Occasional Papers: One proposal
was received, reviewed by the Occasional Papers Editor, Chair, and 2 outside
reviewers, and accepted; the Board rejected the proposal.
Activities Not Completed:

Decide on format for online Update;
will we continue to publish it in pdf or another format. Implement the
decision.

Decide if the Committee should proceed
with drafting guidelines on joint publications.

Review existing Archives policies governing
ARLIS/NA records (e.g., Policy A-3, Chapter Success Book). President Karen
McKenzie asked that the Committee draft a document outlining what records
should go to ARLIS/NA Archives at Syracuse University. If existing policies
already do this adequately, then we need to issue reminders to Society
leadership, and make sure that copies of all publications get sent to Syracuse.
Chair received information from Terrance Keenan, Special Collections Librarian
at Syracuse University, on procedures, current inventory of ARLIS records,
problems, etc.

Develop an advertising plan for Occasional
Papers.
